ADVISORY COUNCIL FAQ
-
The Advisory Council is formed of members who have previously served on a Host Committee for the Louisiana State Conference of Young People in Alcoholics Anonymous (LASCYPAA).
-
The Council acts as the custodians of the Conference: they hold the corporate/legal responsibility for the event, protect its assets, preserve its history, ensure continuity from year to year, and support current and future Host Committees.
-
-
Each year, the Host Committee elects three (3) full Advisory Council members and three (3) alternate members.
-
Eligibility: Those being elected must have served on the Host Committee for at least six (6) months prior to the conference, and must have at least one (1) year of continuous sobriety by the date of election.
-
-
Term of service: The elected members will serve their initial conference year plus an additional five (5) travelling Conferences (total 6 years of commitment) unless otherwise specified.
-
Alternates are ranked (1st, 2nd, 3rd alternate) and step in if a full member cannot serve their term.
-
-
The Advisory Council manages the bidding process for future conference sites, including: inviting bids, conducting Q&A sessions, reviewing bids, selecting host city.
-
The Advisory Council sets and enforces bid requirements (e.g., hotel contract, program plan, finances) as defined in their guidelines.
-
-
The Advisory Council holds responsibility for corporate finances at the higher level: reserving bank accounts, approving major expenditures, overseeing Host Committee close-out and funds transfer.
-
The Advisory Council monitors that all profits after expenses from the Host Committee’s year are returned as required.
-
-
The Bylaws may be amended by a qualified vote of the Council membership.
-
The Council meets during the conference weekend (typically Saturday) and may hold additional meetings as needed. Full attendance/participation expectations are outlined.
